Job Description

Jackson Hole Art Auction is seeking a highly organized, detail-oriented Marketing & Administrative Coordinator to support both the marketing and day-to-day operations of a leading fine art auction house specializing in Western, wildlife, and Native American art. This is a dynamic, client-facing role ideal for someone who thrives in a fast-paced, creative environment and is comfortable balancing marketing execution with administrative responsibilities.

 

Responsibilities

Marketing & Publicity

  • Coordinate with external designers to develop advertising and marketing collateral across print and digital platforms
  • Manage advertising schedules, deadlines, and marketing budget tracking
  • Update and maintain website content to ensure accuracy and timely promotion of auctions and events
  • Oversee email marketing and social media campaigns, including scheduling, content coordination, and execution
  • Draft and distribute press releases to media outlets and industry contacts
  • Respond to media and publicity inquiries in a professional and timely manner
  • Assist in the planning and execution of auction events, exhibitions, and related promotional activities

 

Administrative & Operations

  • Serve as a first point of contact by answering phones and greeting gallery visitors
  • Monitor and respond to inquiries via the general email inbox
  • Compile and maintain vetting spreadsheets and internal records
  • Ensure the gallery space remains organized, presentable, and client-ready
  • Perform inventory data entry 
  • Draft and send consignment contracts and client documentation
  • Assist with invoicing and payment tracking
  • Maintain office supply inventory and coordinate reordering as needed

 

Qualifications

  • Strong organizational skills with the ability to manage multiple deadlines
  • Excellent written and verbal communication skills
  • Experience with email marketing platforms and website content management systems preferred
  • Professional demeanor and customer service orientation
  • Interest in fine art is highly desirable
  • Proficiency in Microsoft Office or Google Workspace; familiarity with CRM or auction systems is a plus
